Before you onboard on OPERAi


This page outlines the key information all Optical Practices and users of OPERAi must read before registering on the OPERAi system.


The first step to using OPERAi is 'onboarding' your Practice onto the OPERAi system.


  1. The Practice should be onboarded onto the system by a senior member of the Optical Practices team, and preferably by an individual that is authorised to act as the 'legal contact' for the Practice.
  2. As part of the Practice onboarding process, the Practice ODS code will be required, so please ensure you have this to hand when you commence the onboarding process. If you are not sure what your ODS code is, please refer to the ODS portal page here.
  3. You will be asked to input the details of the designated 'Clinical Lead' and 'Legal Lead' at your practice, thus you will need their email address to hand. Please note all users on OPERAi need to access the system by an NHS Wales email account, thus it is an NHS Wales email address that should be provided when prompted.
  4. As part of the Practice onboarding process, you will be required to 'invite your first user'. This is displayed as the 'Practice lead administrator', the email address provided here and for all users should be an NHS wales email address. If the practice lead administrator is a clinical user you will need the GOC number for this individual.
  5. *You will need to confirm you have read, and accept, the Data Processing Agreement (DPA) as part of the practice onboarding process. You can access this document here

*Please note if you are part of 'a chain', we are in the process of liaising with head offices to obtain a centrally signed DPA, thus if you are a Practice that falls in this category please provide your name in the box provided and the date of the completion of the onboarding to enable you to progress and complete the onboarding process.

Second step is to then 'invite' your practice team members to use OPERAi, as each person will have their own login to OPERAi within your practice.


  1. The Practice Lead administrator, who was selected during the Practice onboarding process, will on completion of the practice onboarding process, receive an email (to the address provided during the onboarding process) inviting them to login in to OPERAi.
  2. The Practice Lead administrator will need to login to OPERAi to then commence the process of inviting users to the OPERAi system.
  3. There are two types of users, 'clinical 'and 'administrator' (non clinical). The practice lead administrator will need the GOC number for the clinical users they are inviting to the system. An NHS Wales email address must be provided for both user types, a none NHS Wales address will not be accepted on the system.
