Onboarding Hospital users on OPERAi
OPERAi is used by Hospitals across Wales to review, triage and book electronic referrals from Primary Care into the relevant follow up pathways.
Hospitals are manually added to OPERAi by our dedicated support team as part of the overarching implementation of the OPERAi system.
As part of the engagement process NHS Wales Health Boards have provided each Hospital /Trust that will receive referrals via OPERAi with a 'Hospital Access' form.
This form requires each Hospital/ Trust to identify a minimum of two 'System administrators' whom are responsible for providing and maintaining the details of the clinical and none clinical staff members that will require an OPERAi login.
System administrators can add and remove users by way of updating the 'Hospital Access Form ' and submitting the change request to the OPERAi support team via email on: OperaiWales@referral.solutions
If you are a Hospital/ Trust that has not received the 'Access Form' and you are aware that referrals are being sent to you, please contact the OPERAi support team via email on: OperaiWales@referral.solutions and make a request.
The below outlines the processes and rules linked to this process:
Password Rules
Hospital user(s) will receive a password to the email address provided, password to be updated on first use. Password must contain a minimum 12 characters, this must be a combination of letters, numbers and at least one special character.
Forgotten Passwords
Any staff member who has forgotten their password should use the reset password function on the log in page. Users will receives a one time PIN to their email address. This will allow the user to log in and set a new password.
Managing Access Rights
Changes can only be made by the system administrator, this can be done by emailing: OperaiWales@referral.solutions with an updated version of this form, outlining what changes you wish us to make i.e to add or remove a user.
Hospitals can add / amend a system administrator by emailing the OPERAi support team on OperaiWales@referral.solutions. Please note this will need to be requested by a current hospital administrator in order to be authorised.
Profile Changes
Whenever there is a temporary or permanent significant change in the way a person works, a review of their access rights must be carried out by the Hospital administrator and an updated copy if this form should be submitted to the OPERAi support team on: OperaiWales@referral.solutions
Locums
Locum clinical staff can be added as a clinical user to the hospital portal. The hospital administrator will need to again update this form and send to the OPERAi support tea on OperaiWales@referral.solutions to process. Please provide a minimum of 24 hours notice.
Locked Account
Accounts will be locked after a 3 month period of inactivity. To restore a locked account email OperaiWales@referral.solutions
Misuse
If any user suspects misuse, the user must reset their password. This must be reported to the system administrator. Depending on the severity of the allegation an investigation maybe required and appropriate disciplinary measures taken.
Annual Audit
An annual audit should be undertaken by the system administrator to ensure only staff that require access to the OPERAi IT system maintain access.
